These Terms & Conditions (“Terms”) constitute a legally binding agreement between you (“Customer”) and PEOPLE INFORMATION LLC, operating as BookAeroFare.com (“Company,” “we,” “us”). By using our website or services, you agree to these Terms in full. These Terms cover both domestic US travel and international travel and incorporate applicable airline Conditions of Carriage and international aviation law by reference.
1. Company Identity & Independent Agency Status
BookAeroFare.com is an independent travel agency operated by PEOPLE INFORMATION LLC, located at 2101 W San Juan Ave Suite 2, Phoenix, Arizona 85015, USA. We are not an airline, airline subsidiary, or official representative of any carrier. We act as an intermediary connecting travelers with airlines and their inventory.
We book travel on, but are not affiliated with: Delta Air Lines, United Airlines, Alaska Airlines, Southwest Airlines, American Airlines, JetBlue Airways, Spirit Airlines, Frontier Airlines, Lufthansa, British Airways, Air France, KLM, Emirates, Qatar Airways, and other domestic and international carriers. All airline names, logos, and trademarks are the property of their respective owners.
2. Airline Conditions of Carriage
Your air travel is subject to the Conditions of Carriageof the operating airline, in addition to these Terms. By booking through us, you acknowledge and agree to be bound by each airline's applicable Conditions of Carriage, which govern the actual transportation contract between you and the airline:

3. Domestic Travel — US Regulatory Framework
All domestic US air travel booked through BookAeroFare.com is subject to the following US Department of Transportation (DOT) regulations and federal aviation law:
14 CFR Part 259 — Enhancing Airline Passenger Protections
Requires airlines to adopt and adhere to customer service plans including timely baggage delivery, prompt refunds, and accommodation of passengers with disabilities.
14 CFR Part 250 — Oversales (Denied Boarding Compensation)
If you are involuntarily denied boarding on a domestic flight due to oversales, you are entitled to compensation of up to $775 (if delay 1–2 hrs) or $1,550 (if delay >2 hrs), in addition to a refund or rebooking.
DOT 24-Hour Cancellation Rule
You may cancel any flight booking within 24 hours of purchase for a full refund, provided the ticket was purchased at least 7 days before the scheduled departure date. This applies to all fare types including Basic Economy.
DOT Refund Rule (2024)
Airlines are required to automatically issue cash refunds (to original payment method) for cancelled or significantly changed flights. 'Significant change' includes delays of 3+ hours domestic, 6+ hours international, added connections, class downgrades, or airport changes.
Tarmac Delay Rules
Airlines must not keep passengers on a tarmac for more than 3 hours (domestic) or 4 hours (international) without allowing deplaning, subject to safety and security exceptions.
4. International Travel — Applicable International Law
International air travel booked through BookAeroFare.com is governed by the following international legal frameworks in addition to the operating airline's Conditions of Carriage:
a) Montreal Convention 1999 (MC99)
The Convention for the Unification of Certain Rules for International Carriage by Air (Montreal Convention 1999) applies to all international flights between countries that are signatories (including the US, EU, UK, Canada, Australia, Japan, UAE, and most countries worldwide). Under MC99:
- ▸Liability for death or bodily injury: Unlimited (up to ~135,000 SDR without proof of negligence; unlimited if airline is proved negligent)
- ▸Liability for flight delay (personal injury): Up to 4,694 SDR (~$6,300 USD)
- ▸Liability for lost, damaged, or delayed baggage: Up to 1,288 SDR (~$1,730 USD) per passenger
- ▸Liability for loss, damage, or delay of cargo: Up to 22 SDR per kilogram
- ▸Airlines may face higher liability if negligence or willful misconduct is proven
- ▸Passengers must file written baggage damage/loss claims within 7 days (damage) or 21 days (delay) of receipt
- ▸Legal claims must be brought within 2 years of the date of arrival or scheduled arrival
b) EU Regulation 261/2004 — EU Passenger Rights
EU Regulation 261/2004 applies to: (i) all flights departing from an EU airport, and (ii) flights arriving at an EU airport operated by an EU-based carrier. It entitles passengers to:

Compensation may be reduced by 50% if the airline offers re-routing and you arrive within 2–4 hours of scheduled arrival. Extraordinary circumstances (severe weather, ATC strikes, security threats) exempt airlines from compensation obligations.
c) UK Retained Regulation 261 (UK261) — Post-Brexit
Following Brexit, the UK retained and implemented its own version of EU261 (UK261) which applies to: flights departing from a UK airport, or flights to the UK operated by a UK carrier. Compensation amounts are equivalent in GBP: £220 / £350 / £520 for short / medium / long haul respectively.
d) DOT International Passenger Rights (US-Based Flights)
For international flights departing from the US, DOT regulations (including the 2024 Refund Rule) apply. Airlines operating international routes from US airports must provide automatic cash refunds for cancellations or significant changes, and are subject to denied boarding compensation rules under 14 CFR Part 250 with higher limits for international flights (up to $1,550 for delays 1–4 hours; $3,100 for delays over 4 hours).
5. Eligibility
You must be at least 18 years of age and legally capable of entering into a binding contract to use our services. Bookings made on behalf of minors or other passengers are your responsibility. By booking for others, you confirm you have their authorization and agree to these Terms on their behalf.
6. Booking Process & Payment
All bookings are subject to availability and airline fare rules at the time of purchase. Fares are not guaranteed until full payment is received and the ticket is issued. Dynamic pricing means fares can change between quote and ticketing — we will notify you of any price change before proceeding.
All prices are quoted in US Dollars (USD) and include the base airfare, applicable taxes, government fees, fuel surcharges (YQ), and our agency service fee. Your statement will show BOOKAEROFARE or PEOPLE INFORMATION LLC. We use PCI-DSS-compliant payment processors and do not store your full card number.
For international bookings, additional government taxes, airport development fees, departure taxes, and passenger facility charges imposed by foreign governments are included in the quoted total price.
7. Cancellations & Refunds — Domestic
24-Hour Rule (DOT): You may cancel any booking within 24 hours of purchase for a full refund to your original payment method, provided the booking was made at least 7 days before departure. No cancellation fee applies within this window.
Non-Refundable Fares: After the 24-hour window, non-refundable tickets (Basic Economy, standard Economy on most carriers) may be cancelled for a travel credit or eCredit from the airline, minus any applicable airline cancellation fee.
Refundable Fares: Fully refundable tickets can be cancelled at any time before departure for a full refund to the original payment method.
Airline-Specific Domestic Cancellation Rules:
- ▸Delta: No cancel fees on most Main Cabin and above (excl. Basic Economy after 24 hrs). Basic Economy: no refund, may get eCredit minus fee on select routes.
- ▸United: No cancel fees on most Economy and above. Standard Economy cancellations generate a Future Flight Credit (FFC) at full value.
- ▸Alaska: No cancel fees on Main Cabin and above. Saver fares: no cancel/change after 24-hr window.
- ▸Southwest: Any fare can be cancelled any time before departure for full travel credit (Wanna Get Away / Plus). Anytime and Business Select: fully refundable to original payment.
8. Cancellations & Refunds — International
International fare rules vary significantly by airline, route, cabin class, and fare bucket. In addition to the airline's published fare rules:
- ▸The DOT 24-hour cancellation rule applies to all international flights booked on or through US-based agencies.
- ▸For flights cancelled by the airline, EU261 or UK261 may entitle you to a full refund regardless of fare type.
- ▸International non-refundable tickets generally yield a future travel credit from the airline, not a cash refund.
- ▸International refundable fares (business class, first class, flex fares) are typically refundable to the original payment method.
- ▸Taxes and government-imposed fees on international tickets are generally refundable even on non-refundable fares.
- ▸Award ticket cancellations on international routes: miles are generally redeposited (redeposit fees may apply for non-elite members).
Our agents will verify your specific international fare rules and advise on the best course of action before any cancellation is processed.
9. Flight Changes — Domestic & International
Changes are subject to airline fare rules, availability, and any applicable change fees. Our agents will present all costs before processing. No change is made without your explicit approval.
Domestic Change Policies (Current):
- ▸Delta, United, Alaska, American: No change fees on most domestic fares (Basic Economy excluded). You pay only the fare difference if the new flight costs more.
- ▸Southwest: No change fees on any domestic fare. If the new flight is cheaper, the difference becomes a travel credit.
- ▸Basic Economy across all carriers: Generally non-changeable after the 24-hour window.
International Change Policies:
- ▸Delta: No change fees on most international fares originating in the US. Basic Economy may vary by region.
- ▸United: No change fees on international Economy and above (US originating). International Basic Economy has restrictions depending on destination region.
- ▸Alaska: No change fees on international routes (Mexico, Canada, Latin America) for Main Cabin and above.
- ▸International carriers (Lufthansa, BA, Air France, Emirates, etc.): Change fees and policies vary significantly by fare class and route. Contact us for specific fare rules.
- ▸For all international changes, fare differences apply if the new flight is more expensive. No cash refund for fare differences if new flight is cheaper on non-refundable fares.
10. Airline-Initiated Schedule Changes & Cancellations
Airlines may modify schedules, cancel flights, or cause disruptions outside our control. Your rights in these situations:
US Domestic (DOT 2024 Refund Rule):
- ▸Automatic cash refund (to original payment) if the airline cancels your flight.
- ▸Automatic cash refund for 'significant changes': domestic delays of 3+ hours, international delays of 6+ hours, more connections than booked, different airports or class of service, or unacceptable connecting airport changes.
- ▸Airlines must process refunds within 7 business days (credit card) or 20 calendar days (other forms).
International (EU261 / UK261 / Montreal Convention):
- ▸Full refund or re-routing at the earliest opportunity if the airline cancels your flight.
- ▸EU261/UK261 compensation applies if flight was cancelled with less than 14 days notice and the airline cannot prove extraordinary circumstances.
- ▸Under the Montreal Convention, airlines are liable for damage caused by delay, subject to limits and available defenses.
We will actively assist you in claiming your rights and processing airline-initiated refunds and compensation.
11. Denied Boarding & Oversales
Domestic (14 CFR Part 250): If you are involuntarily denied boarding on a domestic US flight due to oversales, you are entitled to compensation of:
- ▸200% of one-way fare (max $775) if alternative routing arrives 1–2 hours late
- ▸400% of one-way fare (max $1,550) if alternative routing arrives more than 2 hours late
- ▸Full refund of the unused ticket in addition to the above compensation
International (14 CFR Part 250 / EU261): Higher limits apply on international routes under US DOT rules. EU261 compensation applies to eligible EU-connected flights as described in Section 4.
12. Name Corrections
Airline tickets are strictly non-transferable under all airlines' Conditions of Carriage. Minor spelling corrections (1–3 characters) may be made at no or low cost subject to airline policy. Legal name changes require documentation and may incur fees. Complete name changes to a different person are not permitted by any airline. Passengers are solely responsible for ensuring names exactly match their government-issued travel document at booking.
13. International Travel Documents & Entry Requirements
You are solely responsible for ensuring you hold all required travel documents. BookAeroFare.com provides general guidance only and is not liable for denied boarding, denied entry, or any costs arising from insufficient documentation. Requirements include but are not limited to:
- ▸Valid passport — most countries require at least 6 months validity beyond your travel dates
- ▸Visa — check with the destination country's embassy or consulate; US citizens may need visas for many destinations
- ▸ESTA (Electronic System for Travel Authorization) — required for Visa Waiver Program countries visiting the US
- ▸eTA (Electronic Travel Authorization) — required for Canada (non-US citizens), Australia (ETA), New Zealand (NZeTA), and others
- ▸Transit visas — may be required even when just passing through certain countries
- ▸Vaccinations and health certificates — requirements vary by destination (e.g., Yellow Fever certificate for some African/South American countries)
- ▸Minors traveling alone or with one parent — many countries require notarized consent letters
- ▸REAL ID (domestic US) — required for domestic US air travel from May 7, 2025 onward
Always verify current requirements at travel.state.gov (US passports & visas), timaticweb.com(IATA Timatic — the airline document database), and the destination country's official immigration website.
14. Baggage — Summary of Key Rules
Baggage fees, allowances, and policies are set entirely by the operating airline and are not controlled by BookAeroFare.com. See our dedicated Baggage Policy page for detailed per-airline breakdowns. Key points:
- ▸Baggage fees are additional to airfare and our service fee — they are paid directly to the airline at check-in or online.
- ▸Southwest Airlines: First 2 checked bags are FREE on all domestic and international routes for all passengers.
- ▸Delta, United, Alaska: Checked bag fees apply on most Economy fares. Fee waivers exist for elite status holders and co-branded credit cardholders.
- ▸International routes: Baggage policies differ significantly from domestic — transatlantic routes may include 1 free bag on some fare classes.
- ▸Montreal Convention limits baggage liability to approximately 1,288 SDR (~$1,730 USD) per passenger on international journeys.
- ▸Carry-on: 1 carry-on + 1 personal item is standard. Basic Economy on Delta, United, and American restricts carry-on overhead bin access.
15. Liability Limitation
To the fullest extent permitted by applicable law, PEOPLE INFORMATION LLC shall not be liable for:
- ▸Flight delays, cancellations, or disruptions caused by airlines or third parties
- ▸Acts of God, extreme weather, strikes, air traffic control actions, terrorism, or other extraordinary circumstances
- ▸Errors or omissions in information provided by you (incorrect names, dates, passport numbers, etc.)
- ▸Failure to obtain required travel documents (visas, passports, ESTA, health certificates)
- ▸Indirect, incidental, punitive, or consequential damages of any kind
- ▸Our total liability, where applicable, is limited to the agency service fee paid to us for the specific booking in question — not the full ticket price paid to the airline
Nothing in these Terms limits or excludes our liability for fraud, gross negligence, or any liability that cannot be limited by applicable law.
16. Indemnification
You agree to indemnify, defend, and hold harmless PEOPLE INFORMATION LLC, its officers, directors, employees, and agents from any claims, losses, liabilities, damages, costs, or expenses (including reasonable legal fees) arising from: your use of our services; your violation of these Terms; your violation of any third-party rights; or any incorrect information you provided in connection with a booking.
17. Governing Law & Dispute Resolution
These Terms are governed by the laws of the State of Arizona, United States, without regard to conflict-of-law principles, except where international aviation law (Montreal Convention, EU261, UK261) mandatorily applies to a specific claim arising from air carriage.
Arbitration: Disputes shall be resolved through binding arbitration administered by the American Arbitration Association (AAA) under its Consumer Arbitration Rules in Maricopa County, Arizona. Arbitration is on an individual basis only.
Class Action Waiver: You waive any right to participate in a class action lawsuit or class-wide arbitration against us.
Exception: Nothing prevents either party from seeking urgent injunctive relief from a court of competent jurisdiction, or from filing claims in small claims court where eligible.
18. Intellectual Property
All content on BookAeroFare.com — including text, graphics, logos, and software — is the property of PEOPLE INFORMATION LLC or its licensors and is protected by US and international copyright law. You may not reproduce, distribute, or create derivative works without express written permission.
19. Changes to These Terms
We reserve the right to modify these Terms at any time. Updated Terms will be posted here with a new effective date. For material changes, we will provide notice by email or prominent website notice. Continued use of our services after changes constitutes acceptance.
